Proposal

A formal document offering to provide specific services at a stated price.

Definition

A proposal is a formal business document presenting a solution to a client's needs along with associated pricing and terms. Unlike a quote (which focuses on price), a proposal typically includes problem analysis, proposed approach, scope of work, timeline, pricing options, and terms.

Effective proposals are customized to the prospect's specific situation, demonstrating understanding of their needs and articulating clear value. They're sales documents as much as contractual documents.

Why It Matters

Proposals are often where deals are won or lost. A strong proposal differentiates your approach, justifies your pricing, and makes saying "yes" easy. Poor proposals create confusion, invite objections, and lose to competitors.

From a billing perspective, proposals set pricing expectations and payment terms. Clear proposal terms reduce later disputes about what was agreed.

Examples

  • 1

A marketing agency proposal includes: situation analysis, strategic recommendations, campaign deliverables, timeline, investment options, and case studies.

  • 2

A consulting proposal presents three engagement options at different price points, letting the client choose their investment level.

  • 3

A development proposal breaks down a project into phases with separate pricing, allowing clients to commit incrementally.
